Grants:
ECP Basic Grant Guidelines and Form

Important Note: This is a backup page for the ESRI basic grant guidelines. The normal way to get the current guidelines is to send a blank email to grant@esri.com. It will auto-email back to you the complete 50k form. PLEASE NOTE that your ISP may route such forms to your spam or deleted folders (A free Yahoo mail account won't do that.) Please also ensure that your email provider will allow your inbox to accept an email of 50k in size.) If that doesn't work, you can also try to copy the form section below but please be careful, we have very specific email formats to cope with our spam/virus filters, and foremost among these is your form must be submitted as PLAIN text, not as an attached file. Unreadable or badly formatted submissions are the most common reason for grant request to fail. If you cut/paste the form directly into a word processor or Email file PLEASE CHECK that line breaks and spaces retain the correct format. The most common problem in using HTML pages is corrupt line breaks and spaces so please correct your format before submitting.

GRANT ELIGIBILITY and APPROVAL

Applications are reviewed by a volunteer team and so your review may
take 2-6 weeks. You are welcome to contact us if you have questions
about your status. If you have carefully followed the "*===MANDATORY
APPLICATION INSTRUCTIONS" below, you will receive several automatic
confirmations that your request was properly admitted into the
reviewing process. After that you may receive emails from your
reviewer, followed by an approval notice. This can then be followed by
emails from ESRI shipping and licensing as any remaining issues in
these areas are resolved.

Please check your inbox regularly for questions or responses from our
review team. Failure to respond to reviewer questions and comments is
the most common cause of application approval delay.

Grant decisions are based on the public interest value of your
proposal, the appropriateness of the software you have requested to
your intended use and the brief but technical examples of how you will
use the software tools you request. Please do not request advanced
tools unless you have the training and experience to use them.

System Design Strategies Technical Resource Document - ESRI Systems
Integration Services
http://www.esri.com/systemsint/kbase/strategies.html

*-Hardware platform [RPLATFORM]?: Please describe the computer you'll
use, make, model, RAM and type of CPU. GIS software comes in many
different versions depending on your computer and you need to get the
right version.

*-Operating system & version [ROS]?: Please describe the operating
system and version. Most ESRI GIS software runs on Windows XP, but some
versions are available for other & older platforms.

*- Online Access Capability [RWEB]?:
Free GIS data, tools and resources are increasing on the web.
Our program is concerned that this leaves behind a lot of people
who lack fast internet access. Your answers here help us
understand these issues and limitations.
Please enter "good" if your access is any type of broadband
such as DSL. If you have dialup access or slower, or can only
get online infrequently, please describe your situation.

*-PAYMENT: $100 (or edit & explain) [RPAY]?: $100
Payments for ECP grants are based on your ability to pay, the product
costs, and the justification of your need. You're expected to pay $100
minimum for any ECP software grant. It is normal for organizations with
established and significant budgets to pay 10% of the retail software
value at minimum. Costs for organizations with limited budgets are
evaluated on a case by case basis.

Please type in a specific payment figure in US dollars, please do not
just type "XX% discount"

EXTENSIONS: If you request any extensions to your ArcGIS Desktop
request, please add on $100 more for each extension requested. Please
also provide one extra paragraph of description and one extra of
justification saying why you need that specific extension capability
beyond what the basic software offers. Extensions developed by ESRI
including Spatial Analyst, 3D Analyst, Network Analyst, Geostatistical
Analyst, Maplex, Publisher, and ArcScan can be granted directly. Other
extensions are owned by third parties and may or may not be grantable.

ECP staff and reviewers do not provide software costs and grant value
documentation. In general, the retail values for some commonly
granted products are: Single User Arcview=$1,500. ArcEditor=$2,500
Extensions=$2,500 each. Concurrent User Arc/INFO=$10,000 Live training
courses=$500/person/day. Books average $50 each. Conference
passes=$1,000/person. For more specific values or to get a more
accurate idea of the retail value of what you are requesting please
contact your ESRI regional office.

*-I am authorizing you to bill me: _X_Yes __No
If you offer a payment, ESRI will have to bill you after grant shipment
and we require your approval to do so.

*-If applicable, bill the following Purchase order #:
If you use purchase order numbers you can provide one here, otherwise
you can leave blank.

[*O]==ORGANIZATION data: Please fill in the general contact information
for your organization.

Tax-exempt number: Please enter your 501(c)(3) or other number that
certifies you as a tax-exempt or non-government organization. If your
grant is approved, you will be contacted later by our shipping
department who will tell you how to fax them your tax exempt
certification prior to shipping. If you don't have a tax-exempt or non-
government status your grant will still be reviewed but your chances of
approval may be affected.

Web Site URL: If you have your own web site, or any site where your
work is described, please list it.

BUDGET information: Please enter your best estimates of your last year
total organizational budget, and your best estimate of last year's
total mapping budget if any, including hardware, software, salaries and
maintenance. The ECP actively lobbies other manufacturers and donors
for increased support to non-profit GIS and this information is
important.

[*C]==REQUIRED APPLICANT/STUDENT data: Please fill in your personal
contact information here. Please also use this section to provide
contact information for any students applying for training.

*-REQUIRED STAFFING- If you'll be the one using the software and you
are only requesting Arcview level then your answer here can be one
sentence: what is your background and experience that makes you
confident you can learn and use the software you are requesting?
Otherwise, the more complex or advanced your request, the more detail
you will need to provide here. Please provide a short work history,
list of skills and interests, and publications of the people who will
be working with the software. You have to be able to show that you have
the people with the skills, resources and commitments needed to
undertake GIS as a program or a project. If requesting advanced
products like ArcGIS ArcInfo, ArcGIS Server, or any specialized
extension product, please make sure you demonstrate here that you have
the specific skills needed to utilize and benefit from these products.

*REQUIRED DESCRIPTION of what you'll use the grant for:
This is the most basic question that EVERYONE contemplating their own
GIS should ask - and satisfactorily answer - before going on to
thinking about training, data, hardware, software, etc. Please answer
thoughtfully: Why do you really need a GIS? Will it really help? Even
though you can get software and training almost free, it will still
cost you a lot of time and effort; do you think it will be worth that
cost to your organization? For help, http://www.gis.com/ can provide
useful insights, and if you want a self-paced tutorial on how to plan
for a GIS, send a blank email to: gistutorial@esri.com

For each software product you are requesting please provide brief but
technical examples of how you intent to use the tools you request in
the context of your project needs and the product matrix document
<http://www.esri.com/library/brochures/pdfs/arcgis92-functionality-
matrix-list.pdf>.

We do not grant software without a documented need. We do not grant
advanced software unless the project and users are fully qualified.
Please do not send an unsupported ‘shopping list’, it will be rejected.

*REQUIRED JUSTIFICATION (CONFIDENTIAL)?
Enter here specific justifications for why you need a grant. You need
to explain the financial circumstances that require you to request this
grant.

----------------------PAGE 4------------------------------
*-- REQUIRED STATUS REPORT-Date you expect to submit your
- grant status report (MM/DD/YYYY, i.e. 11/04/2007)[OSTATDUE]?:

*- IF APPLICABLE: Date of your last status report [OSTATDATE]?:

Grantees are required to submit a status report on your use of the
grant within 1 year of receiving their granted software. Your status
reports make a big difference in our ability to find funding and
support to continue the grants program, to create new publications, and
to inform donors of the importance of funding conservation GIS. These
are also required if you apply for a grant of maintenance (see below)

There is no formal format for a status report, what we most want to
know are the facts on what a difference, positive or negative, the
grant made to your group and to your conservation mission. Specific
technical methods you used for analysis or cartography that might be
useful to others are especially welcome. Specific activist methods you
used that allowed your maps, reports or data to have a greater impact
in the public arena are equally welcome.

The status report should include example maps, descriptions of your
methodologies and a recounting of your efforts and/or successes in
research and/or effecting social/environmental change. You are
especially encouraged to submit photographs of the grant in use in the
field.

HOW TO SUBMIT YOUR STATUS REPORT

We prefer Email submissions with CD/DVD and/or hardcopy for backup and
very large files or high-res photos.

To submit your status report please include your full contact
information, you can cut/paste the "Organization" and "Applicant"
sections from your form to make sure you don't miss anything.

Email your status report to ecp@esri.com, just like with a normal grant
request, but add the special tag "@report" to your subject line. Please
do NOT include a grant request in your status report submission;
reports need to be in their own separate emails.

You may send your disks or hardcopies to:

ESRI Conservation Program,
380 New York St, Redlands, CA, 92373.
Tel: 909-793-2853

MAINTENANCE FEES:

ESRI’s software maintenance provides you with technical support, no
cost product upgrades and in some cases admission to the annual ESRI
User Conference. Almost all ESRI software products come with 1 year of
complimentary software maintenance.

After the first complimentary year you will be annually invoiced for
ongoing software maintenance. These fees can be significant if you have
been granted more advanced software.

If you do not wish to receive the ESRI software maintenance services,
please reply appropriately to the software maintenance quotation. You
are not required to pay for ESRI software maintenance.

If you wish to have ESRI software maintenance and cannot afford the
fees, have the option of applying for a grant waiver of ongoing
maintenance fees. We normally request that you pay a minimum of 10% of
the quoted fees. Exceptions can be made with adequate fiscal
justification.

When you apply for a maintenance grant, please be sure to attach the
maintenance quotation PDF file you received from ESRI. A current status
report is also required for any maintenance grant requests.

----------------------PAGE 6------------------------------
*-==COURSE/WEB PRE-REGISTRATION [CPREREG]?:
(see www.esri.com/grant, page 6)

You MUST complete the "Course Pre-registration" if you want to be
considered for any kind of training grant. Training grants are for
tuition waivers ONLY. You must still pay for your own travel and
accommodation.

ESRI offers year-round training in over a dozen different GIS topics.
Most of these are five-day courses taught monthly in Redlands and less
frequently at our regional offices. Current Course Schedules and
guidelines can be seen at: http://www.esri.com/training/index.html, or
you may contact the ESRI Learning Center directly at 909-793-2853
x1585.

Live Training grants are available ONLY within the USA, ONLY at one of
the ESRI Corporate Offices (For a list, see:
http://www.esri.com/company/contactusa.html). WE CANNOT GRANT courses
taught by "certified trainers" from other companies, on-site training,
or training outside the USA. If you live outside the USA you will need
to come to the USA to take your live training.

Live Training is only offered on a SPACE-AVAILABLE basis. Once you
apply for a course grant you are placed on a "standby" list and do not
have a confirmed seat. 10 days before the class starts, you MUST call
the ESRI learning center at (909) 793-2853 x1585. If there is space
available in that class you will then be granted a confirmed seat over
the phone.

The alternative Web-based training grant is for a pass code which will
allow you into the ESRI Virtual Campus (http://campus.esri.com) for a
6-month period in which you can take one course, moderated by a live
ESRI trainer. There are many different courses and the passes are
specific to one course and one person, so you have to specifically list
which course you want and the student's name. All of the courses have a
free "test-drive" module and you are encouraged to try them out before
requesting a free pass to the whole course. Please also note that you
may only request a pass to an entire course, we do not grant passes to
the individual modules and lectures. You are expected to complete the
entire course.

CLASS SCHEDULE CHANGES AND CANCELLATIONS:
Though the class schedule rarely changes, we sometimes find it
necessary to change the dates on which a class is offered, or to cancel
a class. We contact registrants at our earliest opportunity in the
event of a scheduling change or cancellation.

TRAVEL: Transportation to the training site is the registrant’s
responsibility. ESRI assumes no responsibility for nonrefundable travel
arrangement losses resulting from course scheduling changes or
cancellations.

LODGING: Registrants are provided a class location map and list of area
hotels. Registrants make their own lodging arrangements.

COURSE MATERIALS: All course materials are provided at the training
site.

RECOMMENDED ATTIRE: Casual dress is suggested.

----------------------PAGE 7------------------------------
*- ESRI USA Conference Passes [RPASS]?:

ESRI, the ESRI Conservation Program, and the Society for Conservation
GIS collaborate on annual international conferences in Southern
California each summer. The ESRI conference is the largest GIS
conference in the world, attracting 15,000 users and offering
workshops, specialized training, user group meetings and many other
unique and valuable opportunities. This form can be used to apply for
ESRI conference passes only, beginning in February of each year.

ECP software grantees covered by software maintenance may be entitled
to complimentary User Conference attendance. Please see this web site
for details:

http://www.esri.com/software/maintenance/benefits/registration-
guide.html

The ESRI Annual User Conference costs $1300 to attend but ECP grantees,
who do not qualify for complimentary attendance, may attend for only
$100 by filling out this section of the form. There is a conference-
wide party on Thursday night which you can attend at a subsidized
charge of $50 but you must say so on this form and make sure your total
conference fees are $150. If you cannot afford anything apply anyway
but please explain your circumstances and be sure to sign up for
volunteer tasks.

If you are on a per diem and can afford a larger contribution, please
note that your payment of greater than $100 (or >$150 with party fee)
will directly help us extend conference passes to more nonprofit,
tribal and international applicants.

In exchange for an ECP pass, we ask that each person devote some time
to volunteer "conference tasks" in the huge Conservation Hall where
hundreds of other conservation GIS users and society members will be
gathered to help us in various tasks and duties, such as giving a
presentation or paper, helping teach a children's workshop, helping set
up some exhibits.

FORM INSTRUCTIONS: Please first type in the number of passes you are
asking for. After that, please specify the names of the persons who are
applying for passes and after each name please specify how much you can
afford to offer for your pass.

After you have entered the number of passes and names, please fill out
the "Conference Tasks" section below. Your ability to volunteer for ECP
booth duties and/or give presentations on your work are an important
part of reviewing your grant request.

The ESRI and SCGIS conference dates are usually in July or August, and
are posted on the respective web sites <http://www.esri.com/,
http://www.scgis.org/>. If applying for a conference pass, please
review the list of tasks below and cut/paste in the ones you can do
into this section of the application form. If you are interested but
not yet sure what time you'll be free to help, or want to know more
about it, paste it in anyway since this isn't a strict commitment and
we will contact you in May and June to organize the tasks. You will be
sharing most tasks with 5-10 other people so it's a great way to
socialize.

as an attachment, it must be the main body of your email
in plain ASCII text. You may include small attachments like
ESRI maintenance quote PDF files, as needed.

SENDING ATTACHED SUPPLEMENTARY MATERIALS:

We encourage you to include larger attachments such as maps,
shapefiles or geodatabases of your data & photos of your work
in the field. HOWEVER, these must be sent separately as
follows: First email in your grant request per the rest
of the instructions below, and make sure to mention in your
essay(s) that you are also sending supplementary grant materials
and what they are. Next, prepare a second email
of exactly what you just sent, but this time attach all of your
large attachments to it and include the tag "@attach" in
your subject line. This will ensure that the proper review
team receives your attached material for their part of the
review.

Except for mentors and as noted, each grant form applies to
just one grant/install location. To apply for a several grant
locations you'll need to send additional grant forms, one for
each location.

IMPORTANT! MANDATORY SUBJECT LINE PROTOCOL:
For spam filter reasons there is a specific formal subject
line rule described below. Failure to use the defined subject
line will risk your email being delayed or deleted without reply.

For the subject of your email, first type in the "#" or
"pound sign" (above "3" on many keyboards). Then your
organization's name immediately after, then a comma,
then space, then state and/or country, then a comma & space,
then the date, then a comma & space, then the grant "@" tags
summarizing what you are requesting i.e.

"#Rainforest Network, Canada, Nov 13 1997, @basic"

GRANT @ TAGS: These are at the end of the subject line and
ensure your request is processed correctly. We also
use them to route your request thru ESRI order entry so if
you get emails from us with additional tags, don't worry.

GRANT TYPE TAG: first specify all the things you are asking for.
Please include at least one of the following tags, you can include
serveral tags if you are asking for several things. If you include
tags for items you are not asking for it will delay your grant.
IMPORTANT EXCEPTION: You may NOT ask for BOTH @basic and @advanced.
Any advanced grant may include as many basic items as you want so
if you are asking at the advanced level please don't also list @basic.

"@basic" If you are applying for a basic conservation grant
limited to the ArcView level and its extensions

@medium If your application includes ArcEditor and its extensions
but nothing more advanced.

"@advanced" for any Advanced conservation grants ie Arc/INFO,
ArcServer
AND including any basic items needed as well

"@conference" if your request includes ESRI Conference passes
"@class" if your request includes ESRI Live Classroom Training
"@virtual" if your request includes ESRI Virtual Campus online
training

"@intl" REQUIRED if your grant is outside USA, must also cc
distributor
"@mentor" REQUIRED if you are applying as a mentor to someone else
"@planet" REQUIRED if you are applying for a PLANET ACTION grant
"@report" REQUIRED if your submission is a status report
"@attach" REQUIRED if you are sending attached material for a grant
request as a second email, as outlined above.

If you don't use any of the @ tags, your request will still be
received,

but it will take a little longer and the initial assumption will be
that

you just want Arcview.

GRANT PROGRAM TAG: Our reviewers are split into many different
specialties
to serve specific user communities. If your main preference is to be
reviewed within one of the following grant communities please specify
that program. If you specify no program you will be reviewed under the
general ESRI Conservation Program guidelines

"@cavekarst" For all caves and Karst enthusiasts
"@apga" For members of the American Public Gardens Assn
"@ci For Conservation International Partners only
"@indigenous" For all indigenous, native and first nations groups
"@public" For all non-conservation public servic grant requests

HOW TO SUBMIT YOUR APPLICATION:

To submit this form, email it to: ecp@esri.com

You MUST ensure that you have deleted all of these instructions
as requested at the top of the form, have followed the specific subject
line rules above.

Unless specifically requested, please do not cc your initial
application submission directly to grant reviewers as it may
confuse and delay your review.

Please keep a copy of your email.

INTERNATIONAL APPLICANT SUBMISSION:

Besides including the "@intl" tag, you must cc an additional
copy email to the ESRI International Distributor for your country.
ESRI's International distributors are listed on our web site at:
http://andes.esri.com/intldist/contactint.cfm )

If you have any questions after submitting your request or
want to know grant status, resubmit using the same subject line
and just ask your question at the very top.

AFTER YOU SUBMIT YOUR EMAIL:
When your email is succesfully sent, you should quickly receive
one or more automatic confirmation emails depending upon your
request and what "@" tags you included. Some of these may be
warnings that you made some mistake in the subject line but these
are typically minor errors. If you recieve NO autoreplies then
something more serious is wrong and you'll need to re-try. ESRI
email servers have very agressive domain blocking that may forbid
your email from coming in, so always try another email address if
you can or a free yahoo or gmail address. If you have problems you
can also try to send a short query to ecp2 at esri dot com. We
maintain an alternate address as backup but we don't check
it often unless someone tells us they need to use it. This
alternate address is "CONSMAP" on gmail.

When your request is approved you will
get a copy of your original request with the approval. Shipping
can then take 1-4 weeks depending upon subsequent licensing
issues and questions. All ESRI software is shipped as standard
media kits that contain all our software. There is a post-shipment
licensing and registration process that formally activates
what you got in your grant. Some licensing is annual and
has to be renewed, some is permanent, they all require different
forms and procedures prior to installing so make sure you allow
time for that in your installation planning.

After your grant is approved, watch for the critical license
file email from ESRI. It will arrive a week or 2 after your
grant ships and it will contain the activation codes needed
to unlock your software installation so it will actually run!
Please remember save that license file to an offline storage
so you can reinstall in case of computer problems.

If your request is granted, information about your grant
may be posted on the ESRI Conservation Program (ECP) web
site at www.conservationgis.org.

The existence of this grant program is thanks to the
thousands of grantees before you who were kind enough to
share their maps, reports, letters, stories, photos &
clippings with ESRI as they developed their GIS and map
programs. Anything you'd like to share with us as you
progress will help keep our grant program going for those
who will need it in the future.
