          ESRI APGA GIS GRANT GUIDELINES

GIS stands for geographic information system. A GIS is a computer-based system for the storage, management, analysis, and display of geographic and associated data.  GIS is a powerful tool designed specifically for integrating, analyzing and mapping all types of spatial information. This email contains the instructions and form you can use to apply for an ESRI grant of GIS (Geographic Information Systems) products.  You may request software, training, books, GIS Data, and SPOT Satellite Imagery thru the new "Planet Action" program.

THIS CAN BE A TIME-CONSUMING PROCESS! Depending on the size of your request, you can expect to spend several hours to weeks completing your application, and several days to weeks for the grant review. If you need ESRI products more quickly than that, please contact your local sales office (www.esri.com/company).

Any institutional member of APGA may apply for a grant using this form.  There are no grant cycles or deadlines, you can apply any time.

You'll be asked to pay $100 minimum to cover basic product, processing and shipping costs, or explain your financial circumstances in more detail.  For your records, the estimated retail value of the default "APGA Bundle" grant is $7,500.

 If you simply need to print out basic maps of a topic or region you are interested in you may find all you need at one of the mapping service web sites ESRI has helped create.  These usually include a simple browser ability that will let you zoom into and print from any of the hundreds of national and global databases, including the paid proprietary databases. GRANT ELIGIBILITY and APPROVAL

  Applications are reviewed by a volunteer team and so your review may take 2-6 weeks. You are welcome to contact us if you have questions about your status. If you have carefully followed the "*===MANDATORY APPLICATION INSTRUCTIONS" below then you will receive several automatic confirmations that your request was properly admitted into the reviewing process. After that you may receive emails from your reviewer, followed by an approval notice. This can then be followed by emails from ESRI shipping and licensing as any remaining issues in these areas are resolved.

  To be eligible, the best thing you can do is read and follow the application submission instructions. Failure to do so is the most common cause of lost or ineligible applications.

  You will also need to check your inbox regularly for questions or responses from our review team.  Failure to do this is the most common cause of delays.

  The primary criteria for approving a grant are your commitment to spend the time needed to learn how to use it, your financial need, and how your project will benefit society and/or the environment.

  Grantees are required to submit a status report on your use of the grant within 1 year. These make a big difference in our ability to find funding and support to continue the grants program, to create new publications, and to inform donors of the importance of funding conservation GIS. These are also required if you apply for a grant of maintenance (see below)

  There is no required format for a status report, what we most want to know are the facts on what a difference, positive or negative, the grant made to your group and to your conservation mission. Specific technical methods you used for analysis or cartography that might be useful to others are especially welcome. Specific activist methods you used that allowed your maps, reports or data to have a greater impact in the public arena are equally welcome.

   The status report should include example maps, descriptions of your methodologies and a recounting of your efforts and/or successes in research and/or effecting social/environmental change. You are especially encouraged to submit photographs of the grant in use in the field. 

 

HOW TO SUBMIT YOUR STATUS REPORT

  We prefer Email submissions with CD/DVD and/or hardcopy for backup and very large files or high-res photos.

  To submit your status report, please include your full contact information, you can cut/paste the "Organization" and "Applicant" sections from your form to make sure you don't miss anything.

  You will then email your status report to ecp@esri.com just like with a normal grant request but add the special tag "@report" to your subject line.  Please do NOT include a grant request in your status report submission, reports need to be in their own separate emails.

MAINTENANCE FEES: All software products have recurring annual maintenance fees that cover tech support and product upgrades.  The First year of maintenance is free but in your second year you will begin receiving 'quotes' for these fees.  
 
  Maintenance fees are extremely important in allowing ESRI to cover the costs of providing technical support and software updates to you, and have proven to be instrumental in the ongoing success and growth of many other conservation GIS programs.  
  After the first complimentary year you will be invoiced annually for ongoing software maintenance. These fees can be significant if you have been granted more advanced software.
  If you do not wish to receive the ESRI software maintenance services, please reply appropriately to the software maintenance quotation. You are not required to pay for ESRI software maintenance.  If you wish to decline the ESRI software maintenance, you can continue using your original installation without updates or support as long as you wish.
  If you wish to have ESRI software maintenance and cannot afford the fees, you have the option of applying for a grant waiver of ongoing maintenance fees. We normally request that you pay a minimum of 10% of the quoted fees. Exceptions can be made with adequate fiscal justification.
  When you apply for a maintenance grant, please be sure to attach the ESRI quote pdf file you received and please be sure you understand the different fees involved.  A Status report will also be required for any maintenance grant requests.

*-==COURSE/WEB PRE-REGISTRATION [CPREREG]?:

  You MUST complete the "Course Pre-registration" if you want to be considered for any kind of training grant.  Training grants are for tuition waivers ONLY. You must still pay for your own travel and accommodation.

  ESRI offers year-round training in over a dozen different GIS topics.  Most of these are two-day or three-day courses taught monthly in Redlands and less frequently at our regional offices. Current Course Schedules and guidelines can be seen at: http://www.esri.com/training/index.html, or you may contact the ESRI Learning Center directly at 909-793-2853 x1585.

  Live Training grants are available ONLY within the USA, ONLY at one of the ESRI Corporate Offices (For a list, see: http://www.esri.com/company/contactusa.html). WE CANNOT GRANT courses taught by "certified trainers" from other companies, on-site training, or training outside the USA. If you live outside the USA you will need to come to the USA to take your live training.

  Live Training is only offered on a SPACE-AVAILABLE basis. Once you apply for a course grant you are placed on a "standby" list and do not have a confirmed seat. 10 days before the class starts, you MUST call the ESRI Learning Center at (909) 793-2853 x1585. If there is space available in that class you will then be granted a confirmed seat over the phone.

  The alternative Web-based training grant is for the ESRI Virtual Campus (http://campus.esri.com) for a 6-month period in which you can take one course. There are many different courses and the passes are specific to one course and one person, so you have to specifically list which course you want and the student's name. All of the courses have a free "test-drive" module and you are encouraged to try them out before requesting a free pass to the whole course.  Please also note that you may only request a pass to an entire course, we do not grant passes to the individual modules and lectures. You are expected to complete the entire course.

CLASS SCHEDULE CHANGES AND CANCELLATIONS:
  Though the class schedule rarely changes, we sometimes find it necessary to change the dates on which a class is offered, or to cancel a class.  We contact registrants at our earliest opportunity in the event of a scheduling change or cancellation.

TRAVEL:
  Transportation to the training site is the registrant’s responsibility.  ESRI assumes no responsibility for nonrefundable travel arrangement losses resulting from course scheduling changes or cancellations.

LODGING:
  Registrants are provided a class location map and list of area hotels.  Registrants make their own lodging arrangements.

COURSE MATERIALS: 
  All course materials are provided at the training site.

RECOMMENDED ATTIRE:  Casual dress is suggested.

  ESRI, the ESRI Conservation Program, and the Society for Conservation GIS (SCGIS) collaborate on annual international conferences in Southern California each summer. The ESRI conference is the largest GIS conference in the world, attracting 15,000 users and offering workshops, specialized training, user group meetings and many other unique and valuable opportunities.

  We invite you to participate in the Conservation Hall, where hundreds of other Conservation GIS users and SCGIS members will be gathered.  You can volunteer with conference tasks (setup, teardown) or give a presentation on your work. If you would like to participate, please indicate what you would like to do below.

  If you are interested but not yet sure what time you'll be available, or want to know more about it, complete this section anyway. This isn't a strict commitment and we will contact you in May and June to organize the tasks. You will be sharing most tasks with 5-10 other people so it's a great way to socialize.

This is a machine-readable form that will be used to review, process and ship your grant request.  This form is for email submission only as directed below. There is no other way to submit grant requests in this program.

To complete this form, Please type in your answer at the end of each and every question, AFTER the colon (?:) You can type as much text as you want and add or paste in as many lines as you want between the colon (:) and the * at the beginning of the next line.  

Please do not erase any of the questions. Please DO NOT erase the (?:) marker at the end of the question.

  We encourage you to include larger attachments such as maps, shapefiles or geodatabases of your data & photos of your work in the field.  HOWEVER, these must be sent separately as follows:  First email in your grant request per the rest of the instructions below, and make sure to mention in your essay(s) that you are also sending supplementary grant materials and what they are.   Next, prepare a second email of exactly what you just sent, but this time attach all of your large attachments to it and include the tag "@attach" in your subject line.  This will ensure that the proper review team receives your attached material for their part of the review.

Then your organization's name immediately after, then a comma, then space, then state and/or country, then a comma & space, then the date, then a comma & space, then the grant "@" tags summarizing what you are requesting i.e.

GRANT @ TAGS:  These are at the end of the subject line and ensure your request is processed correctly.  We also use them to route your request thru ESRI order entry so if you get emails from us with additional tags, don't worry.

GRANT TYPE TAG: first specify all the things you are asking for.
  Please include at least one of the following tags, you can include several tags if you are asking for several things. If you include tags for items you are not asking for it will delay your grant.
IMPORTANT EXCEPTION: You may NOT ask for BOTH @basic and @advanced.
Any advanced grant may include as many basic items as you want so if you are asking at the advanced level please don't also list @basic.

"@basic"      If you are applying for a basic conservation grant
                 limited to the ArcView level and its extensions

“@medium”     If your application includes ArcEditor and its extensions
                 but nothing more advanced.

"@advanced"   for any Advanced conservation grants ie Arc/INFO, ArcGIS Server AND including any basic items needed as well

"@apga"       for members of the American Public Gardens Assn

"@class"      if your request includes ESRI Live Classroom Training
"@virtual"    if your request includes ESRI Virtual Campus online training

"@intl"       REQUIRED if your grant is outside USA, must also cc distributor
"@planet"     REQUIRED if you are applying for a PLANET ACTION grant
"@report"     REQUIRED if your submission is a status report
"@attach"     REQUIRED if you are sending attached material for a grant
                request as a second email, as outlined above.

 

If you don't use any of the @ tags, your request will still be received, but it will take a little longer and the initial assumption will be that you just want ArcView.

If you have any questions after submitting your request or want to know grant status, resubmit using the same subject line and just ask your question at the very top.

 

AFTER YOU SUBMIT YOUR EMAIL:
  When your email is succesfully sent, you should quickly receive one or more automatic confirmation emails depending upon your request and what "@" tags you included.  Some of these may be warnings that you made some mistake in the subject line but these are typically minor errors.  If you receive NO autoreplies then something more serious is wrong and you'll need to re-try.  ESRI email servers have very aggressive domain blocking that may forbid your email from coming in, so always try another email address if you can or a free yahoo or gmail address.  If you have problems you can also try to send a short query to ecp2 at esri dot com.  We maintain an alternate address as backup but we don't check it often unless someone tells us they need to use it.  This alternate address is "CONSMAP" on gmail.

  When your request is approved you will get a copy of your original request with the approval. Some software requires a license agreement to be signed before the software will be shipped.  Shipping can then take 1-4 weeks depending upon subsequent licensing issues and questions.  All ESRI software is shipped as standard media kits that contain all our software. There is a post-shipment licensing and registration process that formally activates what you got in your grant.  Some licensing is annual and has to be renewed, some is permanent, they all require different forms and procedures prior to installing so make sure you allow time for that in your installation planning.

  After your grant is approved, watch for the critical license file email from ESRI. It will arrive a week or 2 after your grant ships and it will contain the activation codes needed to unlock your software installation so it will actually run! Please remember save that license file to an offline storage so you can reinstall in case of computer problems.

  If your request is granted, information about your grant may be posted on the ESRI Conservation Program (ECP) web site at www.conservationgis.org.

  The existence of this grant program is thanks to the thousands of grantees before you who were kind enough to share their maps, reports, letters, stories, photos & clippings with ESRI as they developed their GIS and map programs.  Anything you'd like to share with us as you progress will help keep our grant program going for those who will need it in the future.
